Program Coordinator for External Events
GAINESVILLE STATE COLLEGE
Gainesville Campus
SUMMARY: The Program Coordinator for External Events is part of the Division of Continuing Education and Public Service and is responsible for executing contracts and coordinating the use of Gainesville State College facilities by outside individuals and groups. The position is also responsible for the planning and coordination of Continuing Education programs for local residents and business and industry.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Answering inquiries in person and over the phone regarding space availability and rates

Scheduling appointments to show clients available facilities

Negotiating the rental price of the facilities and/or grounds

Submitting all necessary requests for set-up & take-down, food service, public relations, security, etc.

When required, the Program Coordinator will also coordinate GSC employees to work specific events.

Prepare formal contract for each event as well as invoicing upon completion of the event.

Assume the responsibility of developing and implementing short courses and workshops, classes for seniors, and courses geared specifically for area youth for specific area:

Computer Training
��
Foreign Languages
��
Aquatics

Recruit and select instructors and consultants.

Establish course price and negotiate instructor pay.

Prepare and maintain planning sheet both paper and electronic.

Develop a marketing plan specific to each course.

Secure campus facilities in which to hold the class, and communicate with the instructor and students throughout the course.

Serve as the point of contact should issues or problems arise.

Coordination with other schools, departments, and divisions across campus is necessary for both program planning and facilities usage.

Other duties may also be assigned at the discretion of the Director.
EDUCATION, SKILLS AND EXPERIENCE:

Excellent communication skills (verbal, written, and electronic).

Negotiation, fiscal management, and project management skills are required.

The ability to head off and mitigate conflict is necessary.

In addition, the candidate should be able to anticipate possible needs of external groups as well as potential problems.

The ability to solve practical problems and deal with a variety of concrete and abstract variables in situations where optimal solutions may not be available, both on the spot and during the planning process, is necessary.

The candidate must be able to represent the Division and College in a positive manner at all times to both internal and external constituents.

Proficiency in Windows, Word, Outlook, Excel and database management is required.

A working knowledge of Aceware and ResSched or other scheduling software is preferred.

Work experience using a fax and copy machine is necessary.

A minimum of three years professional experience in event planning, continuing education, or community program development is required

Associate’s Degree in Business, Communications, or related field is preferred.
ANTICIAPTED SALARY RANGE: Salary offered to successful candidate will be commensurate with relevant skills, education and experience.
